What can a VirOff, Virtual Office do ?

A VirOff Virtual Office has many smart and powerful features to assist in file sharing, collaboration and document management between host and client.

A VirOff Virtual Office can enable multiple users to work with files simultaneously. Multiple users can log in simultaneously at both back and front ends and share files.

A Virtual Office can contain multiple folders which may have different titles, properties and uses. With a SHARED folder host and client can both upload and download. With a READ-ONLY folder the client can only download. With a PUBLIC folder any files uploaded by the host are automatically published to all the Virtual Offices in the system.

Within each folder you can store, sort and file unlimited files and documents by user-assigned categories, like a filing cabinet. You can store any PC file, document or database: Word, Excel, pdf, jpeg, etc.

The Virtual Office enables quick and easy upload and download from any PC or network and adds the following features:

  • Automatic file-locking to prevent dual editing of a file. Only one user at a time can make changes to a file

  • Document version tracking and control feature. This shows the version number for each document as amendments are made and saved. You can revert to any earlier version at any time.

  • Quick email message facility (relating to any selected document).

  • Automatic email notification on new uploads (except for the 'Public' folder). Whenever a new file or new version of a file is uploaded an automatic email notification is sent to the other user - the host or the client, as appropriate.

  • Color coding to enable you to identify at-a-glance new or unopened documents and locked documents.

  • Other information on each file or document such as category, size, type and date.
